ICGS January 2003 Meeting Summary

January 15, 2003 - Red Room Bar and Restaurant, Dodgeville, WI

Present: Peggy Perry, Dawn Phelan, Mark Perry, Kathy Stoltz, and Cheryl Schmidt

The installation of officers for the new membership year took place. Current officers are:

Secretary's report: Cheryl misplaced it - hopes to have it for the February meeting

Treasurer's report: Mark crashed the computer program - hopes to have it reinstalled and reports ready for the February meeting

Peggy and Cheryl passed mail between each other for as to who needed what

Project summaries:

- Library: nothing new
- Moscow book indexing: nothing new
- Resource manual: Connie has been sending files via email with more information being added
- Funeral cards: Working on getting them together
- Cemetery project: discussion was held on keeping copies of books on hand vs. making the copies as orders are received.
There are pros and cons on both sides of this issue. Motion to discuss this further at the February meeting.
- Probate records: nothing new

Discussion was held on the ancestor certificate program. Currently, someone outside of the organization is making the certificates for us and we're having a hard time connecting with this person on a timely basis. After more discussion, we decided to look further into recreating these certificates ourselves and being able to get our requests filled in a timelier manner. Kathy will bring in a catalog that she just received from one of the leading paper companies for us to looks at some of the different options available. Discussion on the graphic for each certificate was had and we decided on a photo of the Iowa County Courthouse with a press-on seal for the Sesquicentennial certificate and a picture of the State of Wisconsin also with a press-on seal for the Old Settlers certificate.

It was notes that our Society brochures are somewhat outdated. Kathy will create a new one for us once the certificate program changes (mentioned above) have been finished.

Cheryl set up a booth for ICGS in Madison at a genealogical/historical society open house event. She noted that attendance was down from last year (bad weather) but those that did attend and stop at the ICGS booth were very impressed with the projects that we are working on.

The Otter Creek cemetery book was also a hot topic of discussion at the meeting. After publishing this particular book, it was brought to our attention, by the indexer, that the books was "all wrong" based on information that the indexer verified after the fact and all sales of this book were suspended once the inacurracies were reported. Since that time, Mark and Peggy have spent a lot of time and effort visiting this cemetery and reworking the book to make all the corrections and they're almost done, but it's taken a lot longer than they anticipated to complete. The indexer has been very unhappy that it has taken this long to get the corrections made and has, on more than one occasion, contacted Peggy regarding this issue - including the day before this meeting. The indexer, in lieu of receiving a corrected book upon completion, would now like to receive her original books back with all the corrections that she made. We discussed this option as a group and decided that instead of sending the original book with the inaccuracies and corrections back to her, we would instead send her a refund of her purchase price of the book.


Also discussed was the number of membership renewals that we have received to date. The number seems down from prior years. We feel this is probably due to the membership renewal form being placed in the September newsletter, but not December's. This year, we'll include it with both issues. In the mean time, Peggy will work on getting a letter together to last year's members reminding them it's renewal time again.
