Article I : General statement of agreement

 

     This agreement is being written between the Dodgeville Public Library and the Iowa County Genealocial Society, both of Dodgeville, Wisconsin.  It is the intent of the Iowa  County Genealogical Society to bring their collection of materials to the Dodgeville Public Library for the purpose of  housing the collection there for all of the general public to enjoy and use to the fullest extent. 

 

Article II :  Roles and responsibilities of the Iowa County Genealogical Society

 

     The Iowa County Genealogical Society (ICGS) will provide collected materials to the Dodgeville Public Library for shelf space within the Library.   ICGS will also be responsible for cataloging this collection as they deem necessary and will supply a list of titles to the Librarian as items are both added and removed from their collection that are or will be placed at the Dodgeville Public Library. 

 

     ICGS will also provide a more detailed catalog listing of all the materials located at the Dodgeville Public Library as they deem needed.  Input from Library staff and patrons will always be welcome.  Any and all requests from these sources will be considered as they have have a working knowledge of what information, and in which format,  they feel would work best for them.  This cataloged listing will exist in on paper and also on the ICGS web site.   A hyper-link to the catalog page on the ICGS web site from the Dodgeville Library site would be most appreciated and helpful for patrons to find the ICGS collection.

 

     ICGS will also house some of their equipment at the Dodgeville Public Library.  This equipment is open for use to all patrons, with first priority given to an ICGS member who may need to use it to work on a Society project.  ICGS will be responsible for any maintenance that may be required of their equipment while at the Library.

 

     ICGS will provide any signage for their collection that meets the agreement of the Dodgeville Public Librarian when placed.  Existing signs, banners, etc may not be retroactively moved or taken down by any future librarian after the signs are already in place.  ICGS will also provide some form of labeling system for the periodical holders to identify which periodicals belong in which holder.

 

     ICGS will also provide some form of property indicator on their collection, including equipment.

 

    ICGS has the right to move their entire collection and or equipment from the Dodgeville Public Library at any time, without notice by contacting the Librarian of such a move.  In the situation where there is not a librarian on staff, the notice will be given to the interim librarian or the person(s) in charge of working the library at such time.

 

Article III :  Roles and responsibilities of the Dodgeville Public Library

 

     The Dodgeville Public Library understands that the ICGS collection is not a rotating collection and patrons may not checkout any of the materials.  It is considered reference materials only and for use in-house by patrons.

 

     The Dodgeville Public Library agrees to supply any materials needed to house the ICGS collection effectively on the shelves of the Library.  This will include, but is not limited to, some form of periodical holder for magazines. 

 

     ICGS will not hold the Dodgeville Public Library responsible for any missing items due to theft as long as due dilligence can be shown on the part of the Library to ensure, to the best of their ability, that theft is deterred.  This statement holds true for damaged materials as well.

 

     The Dodgeville Public Library may ask ICGS to remove their collection and/or equipment from the Library at any time and without notice by contacting the current President of the Iowa County Genealogical Society.  This person's name and telephone number will be on hand to the Librarian at all times.

 

     The Dodgeville Public Library has been asked to create an inviting research atmosphere for patrons of the ICGS collection by having a table and chairs available for use near their collection. 

 

Article IV:  Roles and Responsibilities for both ICGS and  the Dodgeville Public Library

 

     A Dodgeville Public Library staff person and a member of  the Iowa County Genealogical Society will perform a walk-through of the ICGS collection on a quarterly basis and perform an inventory.   This new inventory will be compared against the most recent inventory given to the Librarian and any changes will be made and a new inventory list will be provided to the Librarian.
